Description

At Pacific Foundation Services (PFS), our Grants Management (GM) team ensures that every grant we administer is handled with precision, care, and integrity. As a Grants Manager, you’ll be part of a highly collaborative and detail-oriented group that supports the full lifecycle of grantmaking — from application and due diligence through payment and reporting.

You’ll be trusted to maintain the accuracy, consistency, and compliance that keep our clients’ philanthropic work running smoothly, and you’ll play an essential role in ensuring grants are managed efficiently and thoughtfully.

Key Responsibilities

Grantmaking Processes - 40%

  • Implement and continually strengthen client grants management policies and procedures to ensure every grant is handled with accuracy and care in order to help clients achieve their philanthropic goals and ensure a clear, equitable experience for grantseekers.
  • Collaborate closely with clients throughout the grantmaking cycle, fostering strong relationships built on trust, clear communication, and shared purpose.
  • Guide and support applicants and grantees with empathy and professionalism at every stage — communicating requirements clearly, ensuring accessible and accurate information, and providing technical assistance that makes the process smooth and equitable.
  • Maintain meticulous records in the PFS grants management database (and/or client database) to track payments, reporting requirements, and key documents. Prepare and distribute award letters, agreements, payments, and declinations with integrity and precision.
  • Work in partnership with client teams to ensure grants management operations reflect each client’s values and commitment to making a positive impact while delivering reliable, high-quality service that strengthens their philanthropy.

Compliance & Data Management – 25%

  • Ensure integrity and transparency by reviewing, verifying, and documenting grantee eligibility in alignment with legal and ethical standards.
  • Support clients in fulfilling their governance responsibilities by organizing annual meetings and officer elections, collecting conflict of interest statements, and recording minutes while helping uphold client mission and values through sound stewardship.
  • Maintain accurate, detailed records that meet compliance requirements, providing reliable data for audits, tax filings, and reconciliations. Your diligence ensures every grant reflects accountability and trust.
  • Prepare clear, insightful reports that help clients understand their grantmaking activity and impact, reinforcing their confidence in well-managed philanthropy.
Requirements
  • At least three years of hands-on administrative experience, demonstrating consistent reliability and attention to detail; experience within philanthropy or the nonprofit sector is highly valued.
  • Proactive and dependable, with strong judgment and the persistence to see every task through to accurate and thoughtful completion.
  • Exceptionally organized and methodical, able to manage multiple priorities while maintaining accuracy and calm under pressure. Works independently and collaboratively within a supportive, fast-paced team environment.
  • Service-minded and professional communicator, demonstrating respect, tact, and empathy in every interaction.
  • Comfortable engaging with a wide range of people, including client boards, high net worth individuals, and colleagues from diverse perspectives and backgrounds.
  • Strong written communication skills, including proofreading, editing, and maintaining clarity and precision in all correspondence.
  • Advanced proficiency with Microsoft Office and database systems, with a commitment to using technology effectively to support accuracy and efficiency.

Job Requirements for Hybrid Environment:

Dedicated Workspace: Must have a home office or workspace that is free of distractions and interruptions to ensure productivity and focus during work hours.

Reliable Internet Connection: High-speed internet is required to support video conferencing, file sharing, and other work-related technology needs.

Hybrid Work Commitment: Must be able to reliably commute to the office 1 –3 days per week and meet in-person collaboration requirements, as needed.
