As our Benefits Manager, you will play a vital role in ensuring our employees have access to reliable, compliant, and thoughtfully designed benefits programs. You will be joining a close-knit, collaborative People & Talent team of four, becoming our fifth team member. You’ll report directly to the SVP of People & Talent, working closely with cross-functional partners to deliver a seamless and supportive benefits experience for all employees.
In this role, you’ll be responsible for managing the end-to-end administration of our benefits programs—including enrollment, compliance reporting, employee leave coordination, system integrations, and due diligence during mergers and acquisitions. We’re looking for a steady, detail-oriented professional who enjoys optimizing processes, solving problems, and helping others thrive through thoughtful program design and delivery.
Key Responsibilities:
Benefits Administration & Vendor Management (40%)
- Administer a comprehensive suite of employee benefits programs, including medical, dental, vision, HSA, HRA, FSA, COBRA, 401(k), and life/disability insurance, ensuring accuracy and consistency across all offerings.
- Serve as the primary liaison for benefits vendors, brokers, and third-party administrators, building reliable, service-oriented relationships to support employee needs.
- Manage and monitor benefit file feeds, proactively addressing changes, updates, discrepancies, and errors in collaboration with vendors and the FS HRIS provider.
- Reconcile and review monthly benefits invoices to ensure accurate billing and timely payments; maintain alignment between payroll deductions and enrollment data.
- Partner closely with Payroll to ensure benefits data is accurately reflected in employee pay, maintaining a seamless experience for all team members.
Leave of Absence & Compliance (30%)
- Manage the full lifecycle of employee leaves, including FMLA, PFL, STD, LTD, and other state-mandated programs, with a focus on clear communication and compassionate support.
- Serve as a trusted resource for employees navigating leave, guiding them through eligibility, documentation, timelines, and return-to-work procedures.
- Partner with the HR Director to ensure leave policies and practices are compliant, consistent, and employee-centered.
- Ensure adherence to federal, state, and local benefits regulations (e.g., ACA, COBRA, ERISA, W-2/ACA reporting), maintaining documentation and reporting in accordance with all applicable laws.
- Maintain and distribute required notices and disclosures, keeping materials up to date and accessible to employees.
System Integration, Reporting & M&A Support (30%)
- Collaborate with HRIS and IT teams to maintain and continuously improve benefits workflows, file transfers, and systems integrations.
- Partner with the Payroll Manager to ensure smooth coordination between benefits administration and payroll processing.
- Lead the planning and execution of the annual open enrollment process, including employee communications, system testing, and vendor coordination.
- Support M&A activities by contributing to benefits-related due diligence, plan comparisons, and transition plans to ensure a smooth integration experience.
- Prepare and deliver accurate, timely benefits reports for Finance, auditors, and regulatory compliance, supporting business transparency and accountability.
- Minimum of 5 years of hands-on experience in benefits administration or total rewards, with a consistent track record of accuracy, consistency, and service excellence.
- Strong, working knowledge of U.S. benefits regulations and compliance requirements, including ACA, HIPAA, COBRA, ERISA, and FMLA, with a commitment to staying current and compliant.
- Proficiency in HRIS systems and benefits platforms (e.g., ADP, Paylocity, Rippling, Ease, Employee Navigator), with the ability to troubleshoot, audit, and optimize workflows.
- Analytical and detail-oriented mindset, with confidence using Excel for data auditing, reconciliation, and reporting to support informed, compliant decision-making.
- Excellent organizational and project management skills, with strong attention to detail and a follow-through mindset that ensures nothing falls through the cracks.
- Experience supporting benefits transitions during mergers and acquisitions is preferred; ability to handle complex plan comparisons and sensitive employee communications with care.
- CEBS or similar benefits certification is a plus and valued as a sign of professional dedication and subject matter expertise.
